Rostering software that costs the week before you publish it
Punchr is rostering software for Australian venues and stores that run on Square and pay through Xero. Build the roster, see the loaded wage cost as you drag shifts, let Square record the actual time worked, then approve the week and send it to payroll as a draft.
What the rostering module does
Costed rosters before you publish
Every shift shows the loaded cost to the business — casual loading, superannuation and payroll tax included — so the weekly wage bill is visible while you are still dragging shifts.
Square POS is the source of truth for time
Staff clock in and out on Square. Punchr reads those punches, including paid and unpaid breaks, and writes published shifts back to Square so the team sees one schedule.
Labour percentage against real sales
A live view compares hourly sales by location against hourly wage cost, so a manager can see labour as a percentage of revenue during the shift rather than the week after.
Hour and budget limits with hard stops
Set weekly hour and labour-percentage budgets per department. The roster flags the moment a manager schedules beyond the limit.
Timesheets approved in minutes
Rostered versus worked hours sit side by side, missed punches are flagged for a manual override, and each area manager approves their own team before it goes to the bookkeeper.
Xero payroll without double handling
Approved hours are split into weekday, Saturday, Sunday and public holiday buckets, mapped to your Xero earnings rates and pushed as a draft timesheet for the bookkeeper to review.
Who it suits
- Cafés, kitchens and bars rostering a mix of casual and salaried staff across trading periods.
- Grocers and retailers rostering by department, where staff are regularly borrowed between areas and the hours still need to land on the right department.
- Multi-area operators who need each department head to write their own roster inside an hours and labour-percentage budget.
- Bookkeepers who would rather review one draft timesheet than retype a week of hours.
How a week runs
- 1. Build the roster. Group staff into departments and sections, copy last week, and watch daily hours and cost update per group.
- 2. Publish. Only staff whose shifts changed get notified, and the roster is written to Square.
- 3. The team works. Clock-ins, clock-outs and breaks are recorded on the Square POS.
- 4. Approve Monday. Area managers compare rostered against worked hours, fix missed punches, and tick off their team.
- 5. Pay. Approved hours go to the bookkeeper and into Xero as a draft timesheet.
Common questions
Does Punchr work with Square?
Yes. Punchr reads clock-in and clock-out data from Square, including breaks, and writes published rosters back to Square team members so staff see the same schedule in both places.
Can Punchr send hours to Xero payroll?
Yes. Once an area manager approves the week, Punchr pushes the approved hours into Xero as a draft timesheet using your mapped earnings rates. The bookkeeper reviews and posts it.
Does it show labour cost as a percentage of sales?
Yes. Punchr pulls net sales by location from Square and compares them with wage cost for the same period, so labour percentage is visible live and against your budget.
Can different department heads write their own rosters?
Yes. Each area can have a manager plus additional rosterers, so the kitchen, floor and wholefoods leads write their own schedules within their own hour budgets.
Are casual loading, super and payroll tax included in the cost?
Yes. Punchr costs shifts on the loaded rate to the business, so the number on the roster reflects casual loading, superannuation and payroll tax rather than the base hourly rate.
